here’s what you get

inbox management

More than just a check-in. I’ll take over the day-to-day inbox flow: checking in twice a day with high triage, reading, sorting, replying (where appropriate), flagging action items, and handling anything that doesn’t need your direct attention. For inboxes with a volume of up to 600 emails per month, I’ll operate within your preferred tone, templates, and tagging system to keep everything clear, professional, and on-brand. Your inbox stays functional and managed without being one more thing weighing on your mind. I’ll send you a daily summary of what’s going on in your inbox so you can stay as hands-off as possible.

appointment coordination

You handle the sessions—I’ll handle the schedule. I’ll take care of booking, rescheduling, and cancellation coordination for up to 100 scheduled client hours per month, using your preferred platform. Whether it’s fitting in new clients or managing the shuffle of a busy week, I’ll make sure your calendar reflects your availability and your boundaries.

new client onboarding

I’ll make sure every new client—up to ten per month—is fully set up in your system. That means intake forms are sent and followed up on, records are organized, and everything’s prepped before their first session. It’s seamless onboarding that feels warm, professional, and totally hands-off for you.

client file maintenance

I’ll help you stay audit-ready and organized by maintaining clean, up-to-date records inside your EHR. For active caseloads between 36 and 50 active clients, this includes uploading documents (like referral forms, reports, emails), updating demographics, flagging missing info, or making sure session summaries and case files are filed properly (based on your workflow). You’ll always know your records are in order. No scrambling before renewals or billing deadlines.

check-in / strategy call

You’ll get access to a weekly 30-minute support call to review what’s working, identify any tweaks, and make sure your support still matches your needs. This isn’t just a status update—it’s a space to talk about what’s working, what’s not working, offload ideas, ask questions, or vent about systems that aren’t flowing. Whether it’s support or structure, I’m here to make your business feel lighter.

direct billing

You’ll never have to chase insurer portals again. I’ll manage your billing for up to 75 claims/month across three insurer platforms, handling claim cutoffs, submission status, and error follow-up. You focus on delivering care and I’ll focus on getting it paid.

return visit reminders

Just because a client hasn’t booked, doesn’t mean they’ve disappeared. I’ll help you stay on their radar with return visit reminders. For caseloads of 36 to 50 active, I’ll send return visit reminders (RVRs) through your EHR system.
