inbox check-ins
I’ll check in on your inbox once per day, offering moderate triage for your inbox with a volume of up to 300 emails per month. This includes flagging priority items, responding to simple client inquiries and deleting the digital junk that clutters your mental space. It’s your inbox, but tidier and calmer, and it's not your problem anymore. As a bonus, you’ll get a weekly summary of your inbox activity.
appointment coordination
Let’s take “I’ll get back to them later” out of your vocabulary. I’ll handle booking and rescheduling up to 60 client scheduled client hours per month through your preferred platform, keeping your availability current and avoiding accidental overbookings or awkward time gaps. It’s just one more thing you don’t have to think about between sessions.
new client onboarding
When a new client reaches out, I’ll make sure they’re welcomed and organized from day one. I’ll enter up to six new clients’ info into your EHR or CRM system, send out onboarding forms or links, and ensure their file is set up how you like it. You won’t need to lift a finger—they’ll feel taken care of, and you’ll look like you’ve got your shit together.
check-in / strategy call
Twice a month, we’ll hop on a 30-minute call to review what’s working, identify any tweaks, and make sure your support still matches your needs. This isn’t just a status update—it’s a space to talk about what’s working, what’s not working, offload ideas, ask questions, or vent about systems that aren’t flowing. Whether it’s support or structure, I’m here to make your business feel lighter.
client file maintenance
I’ll help you stay audit-ready and organized by maintaining clean, up-to-date records inside your EHR. For active caseloads between 16 and 35 active clients, this includes uploading documents (like referral forms, reports, emails), updating demographics, flagging missing info, or making sure session summaries and case files are filed properly (based on your workflow). You’ll always know your records are in order. No scrambling before renewals or billing deadlines.
direct billing
I’ll submit third-party insurance claims (e.g. NIHB, Blue Cross) accurately and on time, with a max of 40 claims/month. I’ll also track cut-off dates, ensure submissions go through, and flag any rejected claims. While I’m in keeping up on the insured visits, I’ll also process your card paying clients (using integrated payment systems) three times a week. You stay focused on your clients and I’ll keep the money side moving.
return visit reminders
If your practice depends on regular session attendance or check-ins, I’ll make sure your unscheduled clients don’t fall through the cracks. I’ll send friendly reminders using your EHRs integrated systems for caseloads of up to 35 active clients due for follow-ups so you can support them without chasing them down.
