here’s what you get

inbox check-ins

Your inbox, handled. I’ll check in on your inbox daily, offering a light triage by flagging anything time-sensitive like client inquiries, and keep clutter to a minimum. Ideal for inboxes with around 100 emails per month, just enough support to keep things flowing without falling behind.

appointment coordination

Let me handle the back-and-forth of scheduling so you don’t have to. For up to 20 scheduled client hours per month, I’ll add new shifts to your calendar, confirm availability, book client sessions using your preferred system (JaneApp, Owl Practice, etc.), and ensure your calendar stays accurate and up-to-date. This includes coordinating reschedules or cancellations within your existing policy.

new client onboarding

Each new client gets a warm, professional welcome, and you don’t have to lift a finger. I’ll manage up to three new client intakes within your CRM/EHR system, send any required consent forms or onboarding instructions, and make sure their info is cleanly organized. You stay focused on their care while I make sure they don’t fall through the cracks on the admin side.

need a little extra?

Essentials is designed to keep things simple—but if you’re needing help with direct billing, newsletter formatting, or client-facing forms, those can be added to your package (as long as I’ve got the spoons for it). Just ask during your onboarding or check-in, and I’ll let you know what’s possible.

client file maintenance

I’ll help you stay audit-ready and organized by maintaining clean, up-to-date records inside your EHR. For active caseloads of 15 clients or less, this includes uploading documents (like referral forms, reports, emails), updating demographics, flagging missing info, or making sure session summaries and case files are filed properly (based on your workflow). You’ll always know your records are in order. No scrambling before renewals or billing deadlines.

check-in / strategy call

Once a month, we’ll hop on a 30-minute call to review what’s working, identify any tweaks, and make sure your support still matches your needs. This isn’t just a status update—it’s a space to talk about what’s working, what’s not working, offload ideas, ask questions, or vent about systems that aren’t flowing. Whether it’s support or structure, I’m here to make your business feel lighter.
